I’m Ehtisham Saeed, based in Islamabad, Pakistan. I run Everyshot — a digital marketing agency with an active portfolio of Australian RTO clients — and I’m the founder of the RTOGrow product suite (RTOGrow SMS, Easy RTO, Expertle, RTO Scanner). This FAQ covers the most common questions about how both sides of the work operate. If your question isn’t here, the answer’s a quick WhatsApp or email away. See also: About Ehtisham Saeed.
Working with me
Everything is remote — WhatsApp for quick questions, email for detailed requests, Zoom or Google Meet for scheduled calls. I work Australian business hours for live meetings, so there’s no “sorry, I’m asleep” gap. For async work, the time difference is an advantage — work submitted end of your business day is completed by your next morning, effectively a 24-hour production cycle. Every current client is an Australian RTO. Every past client has been an Australian RTO. The model works.
No — based in Islamabad, Pakistan. The Australian RTO specialisation comes from deliberate research, not from having grown up inside the sector. Every ASQA Practice Guide read end-to-end. Every 2025 Standards update tracked. Every NCVER publication reviewed. Training.gov.au data structures mapped directly for the product suite. Building RTOGrow SMS required learning AVETMISS 8.0 in depth; building Easy RTO required mastering the ASQA marketing compliance rules. Compliance knowledge is real and verifiable, not implied by geography.
Most marketing agencies know marketing. Most compliance consultants know ASQA. Almost nobody does both. Through Everyshot I run live Google Ads, SEO, and web design for Australian RTOs. Through RTOGrow I’ve built four products specifically for the sector — a student management system, a WordPress theme, a course builder, and a compliance scanner. That combination means marketing that passes ASQA audit — not marketing that accidentally creates audit risk, which is the common outcome when generic agencies work with RTOs.
Deliberately small roster. Current active engagements: WorkForce Training Group and IEFP. Past long-term engagements (2 years each): Pet Stylist Academy and Dog Trainer Academy. Past shorter engagements (4 months each): OPT Care and Training4Work. Quality over volume — onboarding new RTOs when capacity allows real attention, not just squeezing more accounts into a roster. See case studies for honest framing of every engagement.
Two recommended paths. First, run the free RTO Scanner on your website — takes about two minutes, checks 75+ prohibited phrases, validates your RTO code against training.gov.au, produces a PDF report. Then book a free 30-minute strategy call. If the scan surfaced issues, the call focuses on fixing them. If the scan is clean, the call focuses on growth. No proposal before we’ve talked; no pressure on the call.
RTO websites and Easy RTO
Typically 4-6 weeks from kick-off to launch. Timeline depends on course catalogue size, number of delivery locations, and integrations required (existing SMS, payment systems). Built on Easy RTO — the WordPress theme and plugin I developed specifically for RTOs. Weekly progress updates throughout. No launch until you approve every aspect.
From $3,000 AUD for straightforward single-location RTOs with under 10 courses. Scales with catalogue complexity, delivery footprint, and integrations. Fixed-price proposals after a free discovery call — no hourly billing. Price includes Easy RTO theme and plugin setup, design configuration, CSV catalogue import, ASQA compliance configuration, analytics setup, and RTO Scanner baseline before handover.
Yes. Easy RTO includes the ASQA Compliance Tracker — a dashboard inside WordPress admin showing Compliant/Warning/Non-Compliant status per course in real time. RTO code displays sitewide. NRT logo handled conditionally (only on pages advertising nationally recognised training). Qualification codes and titles pulled from training.gov.au in the correct format. Pre-enrolment information structured under Information and Transparency Practice Guide requirements. Complaints, fees, USI, refund policies handled at the template level.
Yes. Easy RTO supports external booking code embed for aXcelerate, VETtrak, Wisenet, JobReady, and other common RTO SMS platforms. The website shows your existing course catalogue, intake calendars pull from your SMS, enrolment flows through to your SMS without re-entry. If you’re considering RTOGrow SMS as an alternative, migration can be scoped as a separate workstream — but it’s not required to work together on the website.
Divi and Elementor are general-purpose page builders. They’re capable tools for non-RTO websites. For RTO websites, they leave everything compliance-related to the developer — NRT logo placement, qualification code accuracy, RTO code display, pre-enrolment information structure, course schema markup, CSV catalogue import. All of this has to be manually implemented and manually maintained. Easy RTO has these features built in at the architectural level. The difference is weeks of build time and hundreds of hours of ongoing maintenance.
RTO SEO and Google Ads
First 60-90 days show technical improvements and initial ranking movements. Months 3-6 show meaningful ranking improvements for primary target keywords. Months 6-12 show the organic traffic and enquiry volume that justifies the investment. Anyone promising page-1 rankings for every target keyword in 60 days is either dishonest or targeting keywords too easy to be worth ranking for. Honest expectation: consistent progress month over month, compounding over time.
Retainers start at $800 AUD per month. Right budget depends on your training sectors (high-competition categories like White Card or Cert III in Individual Support need more investment than niche specialisations), number of qualifications on scope, delivery locations, and competitive landscape. Typical engagements run 12 months minimum because SEO requires time to compound — shorter engagements waste setup effort before results materialise.
Yes — actively running Google Ads for Australian RTO clients through Everyshot. WorkForce Training Group (White Card, Traffic Control, RSA, Barista courses) and IEFP (Certificate III and IV in Fitness across multiple states) have active campaigns right now. RTO Google Ads is a distinct discipline — keyword architecture around training products, negative keyword discipline to filter job-seeker traffic, landing pages that match ad intent, ASQA-compliant copy, and conversion tracking through to enrolled students.
Usually $2,000 per month ad spend is the practical minimum for meaningful optimisation. Below that, click volumes are too low for statistical significance and too vulnerable to daily anomalies. Larger budgets scale linearly — $5,000 produces approximately 2.5x the enrolments of $2,000, assuming the keyword pool supports the spend. Management fee is separate and covers weekly optimisation, monthly reporting, and ad copy cycles.
Depends on your situation. SEO compounds over time with sustained investment — cheaper long-run but slower to produce results (6-12 months typical). Google Ads produces enquiries immediately but costs money every month. Most RTOs need both: Ads for immediate enrolment flow while SEO builds. If budget is constrained, SEO has better long-term ROI; if you need enrolments this quarter, Ads work faster. A strategy call sorts out which order fits your specific situation.
RTOGrow product suite
RTOGrow SMS is a modern cloud-native student management system for Australian RTOs — AVETMISS 8.0 compliant, USI verification integrated, NAT file generation with built-in validation. aXcelerate and VETtrak are enterprise-scale platforms with comprehensive feature sets for large RTOs, typically requiring a demo for pricing and annual contracts. RTOGrow is positioned for small-to-medium RTOs (50-1,000 students) who want modern infrastructure, transparent pricing, no lock-in, and a free trial. Different products for different scales. Full details on RTOGrow SMS.
No — and this matters. Only RTOs registered with ASQA can issue nationally recognised qualifications under the AQF. Expertle is structured to VET performance criteria and creates competency-aligned content, but non-RTO creators produce course completion certificates, not AQF qualifications. RTOs use Expertle to build content for courses they then issue AQF qualifications for through their registered scope. Non-RTO trainers use Expertle to build and sell commercial training content — legitimate use case, different legal layer. Full details on Expertle.
Yes, actually free. No signup, no email required, no credit card, no follow-up sales calls. The commercial logic is that RTOs who discover issues sometimes need help fixing them — Easy RTO for website rebuilds, Everyshot services for ongoing work. The Scanner is a genuinely useful free diagnostic; if you need more, the paid options exist. If you don’t, you use it and move on. Run it at rtoscanner.ehtishamsaeed.com.
Each product works independently. Easy RTO is installed on your WordPress hosting — no dependency on the other products. RTOGrow SMS is a separate SaaS subscription. Expertle is per-course pricing. The RTO Scanner is free. Many RTOs start with just one product (usually Easy RTO for websites or RTOGrow SMS for student management) and add others as needs evolve. The products are designed to work together when combined, but none require the others.
Pricing and commitments
Fixed-price proposals for defined projects (website builds, strategy engagements). Monthly retainers for ongoing work (SEO, Google Ads management, content production). No hourly billing for client work — hourly billing creates misaligned incentives where the agency benefits from inefficient work. Retainers have specific monthly deliverables; project pricing has specific project deliverables. You know what you’re getting before anything starts.
SEO retainers typically run 12-month engagements because that’s how long SEO actually takes to compound meaningfully. It’s not a contractual lock-in — work can end earlier if circumstances require, but the ROI of shorter engagements is poor because setup work can’t compound. RTOGrow SMS is month-to-month with no lock-in. Project work (websites, strategy) is fixed scope and complete when the project completes. See also: How Australian RTOs Are Actually Winning in 2026.
Yes, for larger project engagements. Typical structure is 50 percent on kick-off, 25 percent mid-way, 25 percent on launch for project work. Strategy engagements can run similar structures. Monthly retainers are billed monthly in advance. Specific payment structure discussed during proposal stage.
Compliance and ASQA
No — I’m not an ASQA compliance consultant. The compliance work I do is specific to website content, marketing collateral, and digital infrastructure — areas where I’ve built deep expertise because I had to build products for this space. For compliance consulting covering Training and Assessment Strategies, assessment validation, trainer currency, student records, or operational compliance, work with a qualified ASQA consultant. I can recommend good ones in the sector.
Yes — if the findings relate to marketing content, website compliance, or digital infrastructure, I can help with remediation. The RTO Scanner surfaces the common website issues. Easy RTO’s architecture fixes systemic problems at the platform level. If findings are operational (assessment processes, trainer currency, student records), those need qualified compliance consulting alongside the marketing work. Both can run in parallel.
Logistics
Yes. Standard NDAs executed before detailed scope discussions. I respect confidentiality of client strategies, internal operations, and competitive positioning. What appears on the public case studies page is only information that’s either already public, explicitly permissioned by the client, or factual (someone is a current or past client). No financial figures, student numbers, or internal operational details appear without permission. See also: RTO Case Studies.
Islamabad is UTC+5. AEDT (Sydney, Melbourne) is UTC+11 — six hours ahead. AWST (Perth) is UTC+8 — three hours ahead. For live meetings, I work Australian business hours. For async work, the time difference is often helpful — work submitted at end of Australian day is completed by next Australian morning. Most clients forget I’m not in-country within the first week of working together.
Client data stays in Australia by default. Website hosting is on your chosen hosting provider (most Everyshot clients use Australian hosts). RTOGrow SMS uses Supabase with Australian regional deployment. Student data never leaves Australia unless explicitly required by specific integrations. Compliance with Australian Privacy Principles (APPs) is built into both the products and the service delivery — not an afterthought. Privacy policy on /privacy-policy/ covers specifics.
